The Role
We are looking for an organised and proactive HR Administrator to join our team in Manchester.
Working closely with the Recruitment Manager and wider management team, you will provide day-to-day administrative support across HR and recruitment, helping to ensure our employee records, systems and processes are accurate and kept up to date.
This is a varied role covering the employee lifecycle, from recruitment and onboarding through to training records, employee changes and general HR administration.
Key Responsibilities
- Support the administration of recruitment activities, including arranging interviews, maintaining candidate records and preparing recruitment documentation.
- Prepare offer letters, contracts and new starter documentation.
- Coordinate the onboarding process for new employees, ensuring all required information and documentation is received.
- Set up and maintain employee records within Rippling and other company systems.
- Maintain accurate and confidential employee files and HR records.
- Process employee changes, including salary changes, promotions, job title changes and other contractual updates.
- Support the administration of probation reviews, annual leave, absence and other employee records.
- Maintain training, qualification and competency records, following up on missing or expiring information where required.
- Assist with employee leaver administration and ensure relevant systems and records are updated.
- Respond to routine HR and employee queries, escalating more complex matters where appropriate.
- Prepare HR letters, documents, spreadsheets and reports as required.
- Support the maintenance and development of HR processes, policies and internal documentation.
- Liaise with managers and employees across our offices and project sites to obtain information and ensure records remain accurate.
- Handle personal and confidential information appropriately and in line with data protection requirements.
- Provide general HR and administrative support as required.
Who We’re Looking For
- Previous experience within an HR, recruitment or administrative role would be beneficial.
- Highly organised with strong attention to detail and the ability to manage multiple priorities.
- Confident using IT systems and comfortable learning new software and processes.
- Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
- Strong written and verbal communication skills.
- Approachable and confident communicating with employees and managers at all levels.
- Proactive and comfortable following up with colleagues to obtain information and keep processes moving.
- Able to work independently while contributing effectively as part of a wider team.
- Discreet and professional when handling confidential or sensitive employee information.
- Previous experience using an HR system would be beneficial but is not essential.
- An interest in developing a career within HR would be welcomed.
